  1. Accommodation

If the requested accommodation is unavailable, we’ll do our best to arrange a similar alternative.


  1. Special Requests

Please inform us of any special meal preferences, dietary requirements, adjoining room requests, or other needs when you book. All requests are subject to availability and confirmation.


  1. Tour Reservations

Bookings should be made at least 30 days before departure. Please direct all reservations to our Head Office in Luang Prabang City, addressed to the Tour Operations Department. You can reach us via email, fax, or phone and will receive a response within 12 business hours.

  1. Payment & Deposit

A 30% deposit is required to secure your booking. The remaining balance must be paid at least 45 days before arrival. Failure to comply may result in the cancellation of your reservation and forfeiture of your deposit.


  1. Cancellation & Amendments

5.1. Cancellations by Global Cycling Travel

If we cancel the tour, we will refund 100% of your deposit and any payments made.

5.2. Cancellations by the Guest

The following cancellation fees will apply:

  • More than 45 days before departure: No charge
  • 30-44 days before departure: 50% charge
  • 15-29 days before departure: 75% charge
  • 14 days or less before departure: 100% charge

  1. Payment Methods

We require a 30% deposit upon booking confirmation. The remaining balance must be paid at least two weeks before the tour date. We accept Visa and MasterCard, and a 2% bank fee will be applied to these payments.

  1. Amendments

Any amendment after booking confirmation will incur a US$10 fee per person.

Transferring to another tour requires an additional US$10 administration fee.


  1. Complaints

All complaints or claims must be submitted in writing within two weeks after the services have been rendered. Complaints made after this timeframe will not be considered.


  1. Refund Policy

Global Cycling Travel acts as an agent for service suppliers. If arrangements cannot be confirmed, we will notify you at least two weeks before departure and issue a full refund if the tour is canceled. Please note that bank transfer payments will have an additional US$30 per transaction for bank commission fees.


  1. Extension of Stay & Deviations

Extensions or deviations at the end of a tour may be permitted but are subject to air ticket validity, seat availability, and hotel confirmation. If an extension cannot be confirmed three weeks before departure, passengers must follow the original schedule. Any additional costs due to these changes will be your responsibility. Please be aware that airport transfers will not be provided for extended stays.

Air tickets issued are non-negotiable, non-endorsable, non-refundable, and non-reroutable.


  1. Tour Policy & Child Fare Eligibility
  • Children under 12 years old (on the departure date) qualify for child fares.
  • Child fares apply when a child shares a double room with two adults. Additional costs apply for children sharing a room with only one adult.

  1. Responsibility

Global Cycling Travel acts solely as an agent for transportation providers, hotels, and other service suppliers. We are not responsible for:

  • Injuries, accidents, loss, delays, theft, or customs regulations.
  • Changes in itinerary due to strikes, deportation, or refusal of entry.
  • Any expenses incurred due to improper travel documents or possession of unlawful items.

Passengers are responsible for ensuring they have valid travel documents.
